About the position
This is a contract to hire role, must live in LA or surrounding as you will be onsite 2-3 days a week. We are seeking a detail-oriented and highly organized Order Management Data Associate (Contract) to support wholesale retail operations in the fast-paced beauty industry. This role is essential for maintaining the accuracy and integrity of order data across internal systems and retail partner portals. The ideal candidate is proactive, data-driven, experienced in working with beauty retailers, and understands the nuances of EDI orders, vendor compliance, and fulfillment timelines within the beauty space.
Responsibilities
• Download customer orders from SPS Commerce EDI and manually organize the data into a master file
• Compare order quantities against warehouse inventory reports to verify fulfillment status
• Enter data accurately into internal systems, ensuring no duplicates
• Manage customer order details—including order quantity and order amount by SKU—on a weekly and monthly basis
• Support timely order processing by communicating with cross-functional teams
• Monitor REACH order status and update ASN and invoices in SPS Commerce
• Understand allowances and discounts for each vendor and submit them correctly
• Troubleshoot ASN and invoice issues within SPS Commerce
• Submit shipment information and billing invoices to customers
• Confirm orders, including pricing validation and shipping window extensions when needed
• Provide customer service support and troubleshoot order-related issues
• Issue credit and return orders as required
• Collaborate with finance and warehouse teams to investigate discrepancies
• Manage a high volume of vendors and purchase orders
Requirements
• Bachelor’s degree required (Supply Chain Management preferred, but open to other fields with interest in Operations)
• 2–4 years of experience in order management, data entry, or sales support within a wholesale or retail beauty brand
• Familiarity with retailer portals and EDI transactions
• Strong Microsoft Excel skills (VLOOKUP, pivot tables, report creation)
• Experience with ERP systems preferred, ideally SAP
• Continuous improvement mindset with a focus on eliminating inefficiencies
• Excellent verbal and written communication skills
• Ability to multitask and thrive in a fast-paced environment
• Proven ability to manage large order volumes
