Position Summary
The Part-Time Sales Coordinator supports the Corporate Director of Sales in executing sales initiatives, group coordination, account servicing, and administrative sales functions for Kinship Landing, with additional support for other hotels that contract Imprint Hospitality Sales.
This position is primarily remote, with the ability to flex onsite as needed for tours, group support, or special projects. While Colorado Springs, CO is preferred due to Kinship Landing needs, candidates located in other markets will be considered if they meet all other qualifications.
The Sales Coordinator plays a critical role in ensuring timely lead follow-up, accurate group management, seamless internal communication, and a high-level client and guest experience.
Core Responsibilities
Responsible for assisting with the operational and administrative functions of group sales, group block management, online presence support, reporting, and internal coordination, while supporting the overall sales strategy established by the Corporate Director of Sales.
Partners closely with the front desk, housekeeping, maintenance, and leadership teamsboth remotely and onsite as neededto ensure group readiness, accurate communication of group needs, and effective follow-up based on guest feedback, reviews, and social media.
In addition to group sales coordination, this role plays a key part in assisting with social event and catering sales for Kinship Landing, including client communication, menu and event detailing, BEO creation, and onsite execution support. This position acts as a bridge between sales and operations to ensure seamless delivery of all events and catering experiences.
Duties & Responsibilities
Sales Coordination & Lead Support

Supports the Corporate Director of Sales by pre-qualifying incoming sales leads, inquiries, and referrals.

Ensures all assigned leads are responded to within established timelines (typically within 2448 hours).

Assists with qualifying, detailing, tracking, and following up on group and corporate leads.

Prepares proposals, contracts, confirmations, and supporting sales materials.

Serves as a primary client contact for social and catering business, guiding clients from initial inquiry through event execution.

Leads event detailing process including timelines, layouts, rentals, food and beverage selections, and special requests.

Creates and manages Banquet Event Orders (BEOs) to ensure accurate communication of all event details across departments.

Leads or participates in BEO meetings with internal teams to review upcoming events and ensure operational readiness.

Coordinates closely with food and beverage teams and hotel leadership on all event execution and service flow.

Supports onsite event setup and execution as needed, including room setup, vendor coordination, and client support during events.

Ensures high-touch client experience before, during, and after events, maintaining Kinships service standards and brand voice.

Manages post-event follow-up, billing coordination, and client communication to support repeat and referral business.
Group & Account Administration

Assists with group block setup, rooming list tracking, cut-off dates, and pickup monitoring.

Prepares group resumes, internal summaries, and event-related documentation.

Supports event detailing, including timelines, floorplans, catering selections, and client-specific requirements.

Coordinates space requirements, meeting times, equipment, billing details, and special requests as applicable.

Maintains accurate and organized digital files within CRM and property systems.

Ensures timely collection of deposits and balances.

Prepares and sends client invoices.
Yield & Revenue Support

Assists with monitoring room inventory, restrictions, and group blocks to support yield strategies.

Compiles production, pace, and performance data for leadership review.

Flags risks and opportunities related to group pickup and demand trends.
Reporting & Systems Management

Maintains detailed documentation of sales activity, account notes, traces, and follow-ups.

Updates CRM and property systems to ensure reporting accuracy.

Completes booking billing reconciliations in a timely and accurate manner.

Assists with daily, weekly, and monthly reporting needs.
Internal & Cross-Property Coordination

Clearly communicates group and client needs to hotel teams for smooth execution.

Coordinates shared or redirected leads with other Imprint Hospitality Sales-supported hotels.

Collaborates with food & beverage and operations teams to ensure seamless execution of all catering and social events.

Maintains a positive, collaborative, and service-oriented approach across all interactions.

Experience in sales, sales coordination, or a related administrative role preferred

Experience with cloud-based systems and remote collaboration tools

Proficiency with computers, email, Microsoft Word, and CRM or property management systems

Ability to support multiple properties and priorities in a fast-paced environment
