They are seeking a Paralegal Assistant to support the Trademark Paralegal team with the preparation, prosecution, and maintenance of trademark matters, ensuring timely communication and accurate documentation. Responsibilities - Learn and execute formalities requirements for major foreign trademark offices - Review foreign associate emails for formalities requests, prepare and send formal documents to clients, order certified copies of priority documents, and track all documents from intake to confirmation by foreign associates within specified deadlines - Prepare and review correspondence with foreign associates and clients regarding new applications, formal requirements, filing details, and updates - Assist with reporting status and deadlines to clients - Prepare client portfolio reports and associated docket reports - Maintain accurate electronic files in the document management system and handle original documents as needed - Provide general support to the Trademark Paralegal team, including docket management, data collection, reporting, and special projects - Assist with client-related initiatives and ad hoc assignments as needed - Support ongoing process improvements, standardize procedures, and ensure accuracy and consistency across all trademark records and filings Skills - High school diploma or general education degree; Bachelor's degree preferred - Trademark prosecution experience or training in a law firm or in-house setting preferred - Experience with electronic research tools and trademark prosecution filing systems - Strong knowledge of Microsoft Office Suite (Word, Excel, and PowerPoint) - Exceptional attention to detail with the ability to maintain a high level of accuracy and low error rates - Strong organizational, analytical, and problem-solving skills with the ability to manage multiple projects and shifting priorities - Excellent verbal and written communication skills; able to interact effectively with individuals at all levels of the Firm - Ability to exercise sound judgment, maintain confidentiality, and use discretion at all times - Demonstrated initiative, accountability, and ability to work independently with minimal supervision - Ability to adapt to changing job responsibilities based on the strategic goals of the Firm - Willingness and flexibility to work before or after standard business hours when necessary to meet firm demands - Prior experience in intellectual property law, trademarks, or related legal support functions Benefits - Competitive salary, overall compensation and 401(k) - Hybrid Remote Work Policy (3 Days In Office, 2 Days Remote) - In-house and external learning and development opportunities - Career Coaching Services - Generous health insurance, mental health and well-being benefits Company Overview - Marshall, Gerstein & Borun is a legal services company specializing in IP litigation and transaction services.
